Item Management in SIMMS 2013

Item Management with SIMMS begins in the Item Manager, where you add and edit an item’s profile, which can include details such as the item’s reorder point and/or discount price. The Item Manager is used to modify the Inventory Management options, to modify or delete the information contained in the setup files, and to add new inventory or edit or delete existing inventory.

Item Rules

Within SIMMS, items may exist in the system with very few details, or very many, but every item must at least the following four details before they may be created in SIMMS and thereafter used in transactions:

1) Item Code – the reference part number (catalog number) assigned to the item. This data must be unique within the system — no two items may have the same Item Code.

NOTE: Users preferring to use SKU numbers instead of Item Codes must be certain to assign one for every item in the system. SKU numbers can be applied by accessing the Setup menu>Settings>SKU Configurator screen.

2) Item Description – the textual name of the piece by which it is referred, i.e. widget, blue, plastic. The description is by can be set to be unique within the system by selecting a checkbox on the Global Settings>Items & Stock tab; if the checkbox is deselected, identical item descriptions may be used for multiple items.

3)  Category – Every item must be assigned to a category within the system.

4) Standard Unit of Measure – the smallest unit of measure with which the item takes part in transactions. Items may have multiple units of measure affiliated with them, for example, the each (single item), the box (composed of 6 eaches) and the case (composed of 24 eaches and/or 4 boxes) the smallest unit for this item would be the each.

NOTE: Users are reminded that since the standard unit of measure is the default unit of measure for the item, any costs and prices assigned to the item within the Item Manager will be the costs and prices PER STANDARD UNIT OF MEASURE. In the above example, with the EACH chosen as the standard unit of measure, the cost and price PER EACH would be saved within the Item Manager.

Credit Limits in SIMMS 2013

With SIMMS 2013, you can apply a credit limit to a customer. If a customer’s invoice total is greater than their credit limit, the customer must pay the difference or you must override the credit limit for the transaction.

Enter a Customer’s Credit Limit
1.   In the Customer Manager, click the Advanced tab.
2.   Under Credit Limit, choose one of the following options:
a) Unlimited
b) Maximum
3.   If you chose Maximum, in the adjacent box, type the maximum dollar amount of credit for the customer.

Override a Customer’s Credit Limit
You can override a customer’s credit limit for a transaction. To do this you must be assigned the job role of Sales Manager. Only sales managers can override a customer’s credit limit. Job roles are assigned in the User Manager.

You may need to enter your username and password to override a customer’s credit limit. This is only required if you are not the user logged into SIMMS.
